There are several free promotional opportunities within the Memorial Union for advertising campus events that are sponsored by OSU Departments or recognized student organizations and clubs.

Disclaimer: Materials must not be misleading, fraudulent, or promoting an illegal activity.  Advertising that has not been authorized under this policy may be immediately removed.

 

Advertising Space Guidelines

  • Ad spaces are free.
  • Only OSU departments and recognized student organizations may reserve advertising spaces.
  • Guests must check in at MU 112 for ad approval and installation instructions.
  • Reservations may not be made by one group and turned over for use by another group.
  • Advance reservations are allowed up to one year from current date.
  • All ad space reservations can be made for a maximum of 2 weeks or less, with the exception of information tabling which has a maximum of 3 consecutive days or less.
  • Only one of each type of ad space can be reserved at a time.
  • Two reservations for each advertising space may be booked per term for each event you wish to promote.
  • Guests are responsible for installing and removing ads at the conclusion of the reservation.
  • Guests who fail to install their ads within 24 hours of their advertising start date may forfeit that space to another’s request.
  • Any content displayed in a language other than English requires an English language translation.
  • Materials not promptly reclaimed by guests on the reservation end date will be recycled.
  • OSU and the MU are not responsible for the loss or damage of materials exhibited.
  • All event advertisements must include a statement describing how to request accessibility accommodations.

 

Digital Signage

  • Slides must be sized at 1920x1080 pixels, landscape.
  • Slides must be in RGB color format, saved as .jpeg or .jpg files, and no larger than 1 MB.
  • Slides rotate through at 5 second intervals (so message must be short), showing about once every minute and a half.
  • PSA that are 30 seconds or less and do not have sound can also be run on the screens. Any video files must be in a .mp4 format.
  • Attach jpeg or mp4 file to reservation, or send to MU.MediaTeam@oregonstate.edu at least 1 week before start date.

 

Outdoor Banners

  • Banner must measure 8x3 feet or less. Banner material must be exterior grade canvas or vinyl with metal grommets for hanging with zip ties.

 

Bulletin Boards

  • Bulletin Board dimensions are 58x33 inches landscape and are a locked glass case ¼ inch deep (very shallow).

 

Commons Windows

  • The Memorial Union will provide paint and supplies.
  • Two panes are provided; ad can face inside on one pane, outside on other pane. The ads must be installed on inside surface, which may require painting wording backwards.
  • Panes are 51x29 inches landscape.
  • Memorial Union staff will remove painted ads on end date.

 

Concourse Easels

  • Maximum size allowed is 24x36 inches portrait; materials are best mounted on poster or foam core boards for display.

 

Information Tabling

  • Two tabling locations in Trysting Tree Lounge (across from Bites convenience store) are available in the Memorial Union.
  • Table must be staffed; materials may not be left at the site unattended.
  • Use is limited to table/counter; additional structures and use of surrounding hallways is not allowed.
  • No food may be dispensed at tabling areas.

 

Table Tents

  • Table tents ad space is located on the Mezzanine or Concourse study tables (22 each), and the MU Commons tables (95). 
  • Size is restricted to 4x6 inches, portrait.

Reservations can be made using the online reservation system. Refer to the map of our advertising spaces to better guide you through your reservation.

 

Tips for Reserving Spaces Using the Virtual EMS Account

  • Book each type of advertising space separately, and for no more than the maximum time allowed.
  • Book the same advertising space (e.g. same number Concourse Easel) for consecutive days – if the ad goes from one space to the next, it is your responsibility to come move it every time there’s a change.
